Canva Brand Video Workflow: Turn One Asset Set into 3 Social Versions + Free Three Version Video Production Brief (Word)
Canva can accelerate brand video production—and accelerate the spread of an old logo, wrong colour or unapproved copy. A reliable workflow starts with controlled brand assets, one message and named approvers, then builds 4:5, 1:1 and 9:16 masters.
Canva's Brand Kit organises logos, colours, fonts and assets. Video Resize or Magic Switch can change aspect ratios. Automated resizing cannot decide which shot matters, whether subtitles cover the product or whether the CTA remains clear.
The role of each version
Version | Common canvas | Main use | Content choice |
|---|---|---|---|
Feed portrait | 4:5 · 1080×1350 | Instagram or Facebook main posts | Keep a fuller headline and product proof |
Square | 1:1 · 1080×1080 | Reusable cards, some carousels and previews | Keep one message; small type is the main risk |
Full-screen vertical | 9:16 · 1080×1920 | Reels, Stories and Shorts | Earn attention early; avoid interface overlays |
Step 1: organise the Brand Kit before editing
Create a campaign folder for logo, fonts, colours, product, people, locations, music and approved copy. Archive obsolete logos so search does not surface them.
Set primary and secondary logos, colour values, heading and body fonts, plus a fallback for Chinese or English text. Availability of Brand Kit, Brand Templates and Brand Controls depends on the actual plan and role.
Step 2: define one job in one sentence
Choose one job: know, believe, compare or act. Write “For [audience], [value or result]; next, [CTA].” If the sentence cannot stay focused, the video probably cannot either.
Step 3: build the 9:16 story first
The full-screen vertical version is often the strictest. Define the opening, three essential visuals, subtitle placement and CTA. Recompose it into 4:5 and 1:1; do not treat Resize as final delivery.
Name and lock layers: background, product, people, headline, subtitles, CTA and legal copy. Leave only approved variable fields editable.
Step 4: make a real content choice for each ratio
Use the upper 9:16 area to stop the scroll, the middle for proof and lower area for subtitles. Use 4:5 for a fuller value proposition. Remove secondary copy from 1:1. Recheck crop, animation timing and line breaks after any automatic resize.
Step 5: subtitles, music and comprehension
Use automatic subtitles as a draft, then human-check brand names, people, prices, dates, Cantonese and mixed language. Record music source, licence, term and platforms; visible availability inside a tool does not prove every commercial use.
Step 6: separate factual and design approval
Product or business owners approve facts, price, dates, legal copy and CTA. Brand or marketing owners approve logo, colour, type, subtitles, rhythm and output. Do not let ten people directly alter the master.
Use filenames such as “Campaign_Platform_Ratio_Language_v03_Approved” and keep a change-log page. Duplicate an approved master into an export version.
Planning budget and timing
Allua Hong Kong planning ranges, not Canva subscription prices: HK$8,000–20,000 for three ratio masters, Brand Kit rules and instructions; HK$12,000–30,000 to complete three short videos from existing assets; HK$25,000–60,000 where filming, animation, bilingual subtitles and multi-team approval are required. Allow five to fifteen working days.
Separate software subscription, system setup, production, licences and ongoing governance.

Worked example
A restaurant lunch campaign targets nearby office workers and aims for reservations. Message: “A three-course lunch in 20 minutes.” Opening shows the plated meal, proof shows three courses and ending shows the reservation CTA. Outputs are 20-second 4:5, 15-second 1:1 and 20-second 9:16. Restaurant manager approves facts, marketing approves brand and publisher verifies the link.
Frequently asked questions
Can an automatic resize be published immediately?
No. Recheck crop, line breaks, animation timing, subtitles and interface overlays.
Is Brand Kit the same as brand guidelines?
No. Brand Kit stores assets. Guidelines still explain logo choice, spacing, prohibited use, hierarchy and tone.
Should everyone edit the master?
Collaborate through controlled fields and a named owner; use export copies so the master stays clean.
Must every platform have completely different footage?
No. Share the story and footage, but treat ratio, rhythm, subtitle placement and CTA separately.
