Influencer Outreach Templates: 8 Emails, DMs and Follow-ups

“Hi, interested in collaborating?” is easy to send, but leaves the creator to work out everything else. A useful invitation explains who you are, why you chose them, what you need, whether it is paid or gifted, and the one thing they should reply with now. Adapt these eight original templates in order from first contact to scope confirmation. Replace the brackets and have a person review the message before sending.

 

Prepare six details before sending

Confirm the brand and product, audience, a real piece of content you watched, deliverables and platform, budget, and publication window. Personalisation should be a specific observation, such as “You explain the route before reviewing a restaurant.” Do not pretend to be a long-term fan or invent a video you have seen.

 

Use the creator’s public business contact route and follow any manager instructions. Do not request a home address or identity documents in the first message; collect necessary delivery details only after a gift is accepted. 1 | First paid-collaboration email

Hi [Name], I’m [name, role] at [brand]. I watched your [specific content]. The way you [real observation] makes it clear for viewers and fits the [audience] we want to reach.

 

We would like to commission and publish [quantity, format and length] on [platform/account], built around [one idea], with a planned [publication window]. This is a paid collaboration, with an indicative budget of HK$[range], subject to confirming production and posting scope. Advertising use or extended licensing would be discussed separately.

 

Would this interest you, and does the timing work? Please share your business contact or relevant quote, and I can send a one-page brief. Thank you, [signature and official website].

 

Use it to make compensation and scope visible early. If no budget is approved, say you would like to understand the quote rather than inventing a range.

 

2 | Short DM to find the right contact

Hi [Name], I’m [name] from [brand]. Your [specific content feature] caught our attention. We are planning a paid [theme] collaboration: initially [one deliverable], around [time window]. Which business email or manager should we contact? No problem if it is not a fit. Thank you!

 

Use this when a business email is unavailable. Ask one easy question; do not chase through several accounts, email and comments on the same day.

 

3 | Gifting with no posting obligation

Hi [Name], I’m [name] at [brand]. We have a [product and relevance] and would like to ask whether you would be interested in receiving it. This is a gift, with no requirement to post or give a positive review. If you choose to share it, please disclose the gifted relationship under the platform’s rules. If you are interested, we can confirm necessary delivery details through a suitable channel. We completely understand if you would rather decline.

 

If you require a video or a publication date, use a defined collaboration proposal instead of calling it an unconditional gift.

 

4 | UGC asset commission without creator posting

Hi [Name], we would like to commission [quantity] vertical [length] product videos for the brand to use on [channels]. You would not need to publish them on your own account. We initially need [caption languages], one consolidated revision, and [organic/advertising] rights for [period/territory]. Please quote production, extra licensing and raw footage separately, and share your earliest delivery window. Suggestions for a better filming approach are welcome.

 

Separate asset use from access to an audience. State advertising rights precisely instead of asking for vague “full rights” and discovering limitations after payment.

 

5 | Clarify a quote after an interested reply

Thank you for getting back to us. To compare the same scope, could you confirm whether the quote includes [scripting/filming/editing], [platforms and quantities], [revision rounds] and [reporting]? Please also price brand reposting for [period] and advertising use for [period/territory]. It would help to see payment milestones, cancellation or rescheduling terms, and extra-revision charges. Please identify anything excluded.

 

Send this after the creator expresses interest. Align scope before price; a posting-only quote is different from a complete production package.

 

6 | Adjust scope when the quote exceeds budget

Thank you for the detailed quote. We value [specific strength]. Our approved budget is capped at HK$[amount], so the original scope is currently beyond it. Could we consider [one fewer deliverable/a single location/a shorter usage period] while keeping [core objective]? If that still does not fit, we can revisit a more suitable project later. We do not want to compromise the content quality.

 

Offer a concrete trade-off. Do not promise uncertain future work for a discount or substitute “exposure” for a production fee.

 

7 | One useful follow-up

Hi [Name], following up on the [brand/theme] invitation. One useful update: we can [real flexibility, such as film outside your busiest hours]. The initial deliverable remains [core scope]. If you are interested, a quick “send details” is enough and I can share the brief. If this one is not a fit, we will leave it here. Thank you!

 

A follow-up after 3–5 working days is a reasonable editorial starting point, not a response-rate guarantee. Mention only real deadlines, and stop after a clear refusal.

 

8 | Confirm the proposed scope before work starts

Thank you. Here is our current understanding: [deliverables and publishing account], [fee/payment milestones], [script/draft/publication window], [revision rounds] and [licensed channels/territory/period]. Please confirm whether this is accurate. Before production begins, we will document product facts, disclosure requirements, cancellation or rescheduling terms and the responsible contact on each side. We will resolve [open item] first rather than assume it is included.

 

Interest does not mean acceptance of every term. Keep a mutually confirmed scope and never ask the creator to hand over an account password.

 

Three writing choices that make replying easier

Reduce the decision load: ask only for interest or a contact route in the first message. Reduce uncertainty: state compensation, deliverables and timing. Preserve choice: let the creator decline or suggest an alternative scope. These are practical communication choices, not evidence that a specific phrase has improved response rates.

Allow 2–4 weeks rather than asking for a post tomorrow

Use working days 1–3 for shortlisting and personalised outreach; days 4–7 for quotes and one follow-up; week 2 for scope, terms and shipping; and weeks 3–4 for filming, review and planned publication. This is a planning sequence, not a promise of a reply on a particular day. Busy seasons, cross-border delivery and multiple approvers need extra time.

 

Track at least the creator, public contact route, last contact date, next action, owner, scope and quote, and whether they declined. Collect execution details only after collaboration is agreed, and limit access to quotes and account analytics to the relevant team.

 

FAQ: five common brand questions

Should the first email include a budget?

Include an approved range and what it needs to cover. For the small collaboration above, start planning at HK$5,000–19,000: HK$1,000–3,000 for briefing and coordination, HK$3,000–8,000 for production and HK$1,000–8,000 for one post. This is only a planning starting point. Profile, audience and rights can increase a quote substantially.

 

Can a gift require a post?

If a deliverable is required, state that it is a collaboration upfront and let the creator decide whether to accept and how to price it. The gifting template here has no posting obligation or requirement for a positive review. Do not add conditions after sending the product.

 

How often should we follow up?

Consider one useful follow-up after 3–5 working days, then pause instead of chasing daily. Stop immediately if the creator declines or asks not to be contacted. If timing is tight, approach other suitable candidates rather than manufacture urgency.

 

Who handles commercial disclosure?

Document who will check and apply the relevant platform labels. Instagram’s branded-content rules cover relevant payment or other value exchanges; YouTube also requires declaration and labelling of relevant branded content. How can we assess the outreach?

Define a useful reply as one that provides availability, a quote or a clear direction, then divide useful replies by successfully delivered, relevant invitations. An emoji alone need not count as success. Compare message variants with similar creators, budgets and timing. Small or different shortlists give directional observations, not proof that one wording caused a better result.
