Planning Corporate AI Training in Hong Kong: Role-Based Practice and a 30-Day Review + Free Template

Corporate AI training should begin with a useful task: extracting meeting actions, drafting a customer response or checking information in a report. Define the input, acceptable output and human review before choosing the tools to teach. That gives the department a way to judge whether learning transfers to work.
This guide provides role-based grouping, a half-day agenda, an assessment example and a 30-day follow-up plan for Hong Kong employers. It is a training-design proposal, not a promise that a particular tool or course will save time.
Choose a real task that can use safe practice data
Start with repeatable work whose input is clear and output can be checked. Early exercises could summarise public information, answer fictional customer enquiries or use approved demonstration documents. For personal, confidential or restricted information, establish permitted tools, data and handling rules first.
Replace “learn AI” with a testable outcome: extract actions, owners, deadlines and unresolved points from a fictional meeting record, identifying information that was not supplied. This tests accuracy and judgment rather than the length of a prompt.
Group learners by responsibility
Learner group | Practical task | Expected output |
Everyday users | Summaries, drafts and information organisation | Reviewable output, sources and uncertainties |
Department champions | Repeatable processes and test cases | Task steps, checking criteria and exception handling |
Managers / approvers | Quality, risk and effort assessment | Acceptance standards, approval ownership and stop conditions |
Teach common principles together, then use role-specific exercises. Where tool and data rules are missing, settle the basic boundaries before training so employees are not left to guess afterwards.
A half-day workshop agenda
This example contains 3.5 hours of activity, excluding additional breaks. It can be split into two sessions.
Time | Activity | Visible result |
0:00–0:25 | Baseline task and quality review | Existing method, time and error types |
0:25–0:50 | Tool limitations, data and review rules | Permitted inputs and escalation route |
0:50–1:30 | Demonstration: input, instruction and checking | Reusable task guidance |
1:30–2:20 | Group practice and exception cases | Traceable drafts and correction records |
2:20–3:00 | Peer review and revision | Error causes, corrections and scores |
3:00–3:30 | Individual task and 30-day planning | Follow-up task, owner and review date |
Ask course suppliers to specify group size, practice time, required accounts, material usage rights, follow-up support and assessment. Tool demonstrations and trend presentations alone may not support practical adoption.

Score the task and identify critical errors
For meeting actions, assess four criteria: fidelity to the source, completeness of actions, accuracy of owners and deadlines, and clear marking of missing information. Score each from zero to two, for a maximum of eight. A department could trial seven as a practice threshold, adjusting it to the task's risk.
Invented owners, dates or sources, and entry of prohibited data, should not be cancelled out by high scores elsewhere. Correct the problem or repeat the exercise before approving routine use. Use a different case of comparable difficulty after training so the test does not simply reward remembering an answer.
A reusable instruction is: “Using only the demonstration meeting record below, list actions, owners, deadlines and supporting source text. Mark missing fields ‘to confirm’. Do not invent information. List the questions requiring human confirmation separately.” Even a clear instruction does not remove the need to compare output with the source.
What should the 30-day review measure?
In week one, a supervisor selects low-risk tasks and reviews them with the learner. In week two, record recurring errors and revise the guidance. In week three, increase practice within the permitted scope. In week four, reassess with a comparable case and decide whether to continue, adjust or stop.
Measure the complete task: input preparation, generation, checking and correction. If the original method took 20 minutes and the AI-assisted method needs two minutes of preparation, three of drafting and ten of review, total time is 15 minutes: a five-minute saving on that task. This is a calculation example, not a training-performance claim. Faster work that fails the quality standard is not a successful result.
Hong Kong's Privacy Commissioner has discussed workplace generative-AI guidance, including communicating policies and providing employee training and support. See the PCPD's explanation. Align exercises with the company's actual tool and data rules and give employees a clear route for uncertain cases.

Frequently asked questions
Must we buy paid AI accounts first?
Confirm course tools, features, terms and company approval before purchasing. Demonstration environments may support some exercises; personal accounts are not automatically appropriate for business data.
Can complete beginners participate?
Yes. Check basic operating skills first and separate login or interface instruction from advanced workflow design so practical time stays focused on tasks.
Can human review stop after training?
Not merely because the course is complete. Review depth depends on the task, data and consequences of error, with a named company approver.
How should training quotations be compared?
Use the same headcount, hours, group structure, materials, accounts, assessment and follow-up support. Separate course fees, licences and employee time rather than comparing hourly rates alone.
