Enterprise AI Agent Development: Integration, Access and Acceptance + Free Specification Template

An enterprise AI agent development brief needs more detail than “read our files and help the team.” Retrieving information, recommending an action, writing to a system and sending an external email are different capabilities. Specify the target, data, permissions and acceptance evidence for each action so suppliers can estimate the same work and your team can assess the result.
This guide focuses on development procurement and delivery rather than another definition of an AI agent. The tables, tests and numbers are Allua planning examples, not a product certification, standard schedule, quotation or security guarantee. The actual design needs assessment against your systems, data and risk.
Define one deliverable job
Name the user, trigger, input, output and completion condition. For example: an internal colleague enters an enquiry ID, the system retrieves product information the colleague may access, and it produces a reply draft for review. This is more actionable than “automate all customer service.” State excluded requests, supported languages, source versions and when the process must return to a person.
Separate information access from business actions. List the owners, test environments, readable fields, writable fields and constraints for the document library, CRM or other systems involved. Existing administrators should arrange appropriate access through the approved process. Do not put passwords, API credentials or real customer cases into the specification circulated to suppliers.
Use a tool-permission table
Job | Example boundary | Approval and evidence |
Read information | Specified product fields only | User-scoped access; source version retained |
Create a draft | Reply draft with sources | Colleague reviews; no automatic external send |
Write a record | Notes field on a specified test record | Write after approval; read the result back |
External action | Sending, deleting or paying scoped separately | Named approver, target and per-action limits |
Stop or recover | Pause actions and return to a person | Stable event ID, reason and handling log |
A prompt asking the agent to be careful is not a substitute for enforceable system controls. Ask the developer how the execution layer checks the user, target, fields and approval state. A retrieved document, webpage or tool response must not grant additional authority. Content that asks the agent to change the recipient, disclose information or bypass rules should be intercepted or sent for review under the agreed design.
OWASP’s AI Agent Security guidance discusses least privilege, input validation, human controls and monitoring. Use it to discuss controls and evidence with a developer. Adopting a checklist does not establish a security certification.
Free enterprise AI agent Word specification
The bilingual editable pack covers the job definition, integration and permission table, approvals, failure handling, acceptance cases and handover. It includes a fictional internal reply-drafting agent example. Enter your email, choose a usage purpose and accept the subscription consent shown at the entry form to receive both Word links.
Read back the result during acceptance
Test | Expected result | Evidence to check |
Ordinary enquiry | Draft using accessible information only | Input, sources, draft and reviewer |
Unauthorized request | Do not return restricted information | Interception and access log |
Instructions hidden in a document | Document text cannot expand authority | Test document and tool-action log |
Timeout or duplicate request | Check the original result before repeating a write | Stable event ID and target readback |
Unapproved external action | Keep a draft and await the named approval | Approval state and absence of execution |
Unavailable system | Return to a person without reporting success | Error, alert and recovery record |
For each case, specify the test data, starting permissions, expected output, pass conditions and actual evidence. A reply saying “completed” does not prove the target record changed. Check the target system. If an action times out, investigate its original request ID before deciding whether to retry. The retry design should avoid turning repeated requests into multiple unintended business actions.
Suppose a pilot handles 20 anonymized internal enquiries and reviewers accept 16 drafts. The illustrative acceptance rate is 16 / 20 = 80%. Inspect mistakes, missing information and refusals by category; this figure does not establish overall accuracy, security or staffing savings. Passing permission and approval tests remains an essential condition regardless of the draft acceptance rate.
Ask the developer to show failed and interrupted paths as well as the successful demonstration. Confirm how users can find an unfinished job, who receives an alert and what evidence tells them whether anything was written. If some environments or actions could not be tested, record that scope explicitly before deciding on a controlled release.
Include operating costs and handover in the quotation
Separate data preparation, integration development, interface work, testing, deployment, training and maintenance. List model or API usage, hosting, monitoring and third-party licensing separately, with usage limits, alerts and pause conditions. Bound the tool steps and resources available to a task, and name the person responsible for abnormal usage. Set actual values through workload testing rather than copying a universal threshold.
Handover should include system and permission inventories, configuration versions, deployment and stop instructions, test results, known limitations, incident contacts and data export or deletion arrangements. Name both business and technical owners. Repeat affected cases when sources, prompts, tools or models change. A working demonstration and an API connection do not amount to production acceptance.
Frequently asked questions
Must the first version be fully autonomous?
No. Start with reading information and producing internal drafts for review. Add writes or external actions only with explicit scope, permissions and acceptance conditions.
Does an available CRM API mean integration is complete?
Still check field mappings, identity, permitted actions, failure handling and actual results. One successful connection does not establish that every workflow passed.
Can prompts replace access restrictions?
Do not rely on prompts alone. The execution layer needs to enforce target and action boundaries, check approval and data access, and withstand attempts by external content to redirect the task.
Can we scale immediately after a successful pilot?
Decide against the agreed data scope, load, human handover, monitoring and recovery conditions. Keep the release controlled and validate scenarios the pilot did not cover.
Ask Allua to organize your agent development specification
Share one job, its users, existing systems, data categories, intended actions and approvers. Allua can help define integration boundaries, tool permissions, a pilot and acceptance requirements, then assess development against the actual scope.
Third-party information and tools change; check before use. Confirm actual services, permissions, data arrangements and prices in the project documents and quotation. Please contact Allua with corrections.
