Quote Follow-Up Workflow: A Practical 7-Day Plan for Sales Teams + Free Quote Follow Up Board (Word)

Oct 12
3 min read

Silence after a quotation does not prove that the price is wrong, and it does not justify daily reminders. Identify the customer's current decision stage and choose one useful next action. This seven-day plan suits Hong Kong service teams handling existing enquiries; adapt it to the buyer's procurement cycle. It is not a proven optimum or a sales guarantee.

Separate four states

Receipt unconfirmed means you do not know whether the quote arrived, not merely that a read marker is absent. Considering means the buyer has raised questions about scope, price or timing. Awaiting internal approval means another decision-maker is involved. Rejected or paused means the buyer has declined, deferred or asked to stop. Use actual messages; do not ask AI to infer emotions.

Seven days of internal checks, not seven messages

Day 0: send the quote

State scope, validity conditions and open questions. Agree a convenient follow-up time and record owner, version and next action.

Day 1: confirm delivery

If receipt is uncertain and contact is appropriate, check that the attachment opens. Honour an agreed follow-up time instead of sending an extra message.

Day 2: organise questions

Classify questions as scope, price, timing or approval. Prepare useful information; do not message merely because another day has passed.

Day 3: answer one real concern

Provide a comparison or scope breakdown, such as a core phase with optional items. Do not default to a discount.

Day 4: support internal approval

Offer a one-page decision summary covering purpose, scope, total cost and open decisions when internal approval is needed.

Day 5: confirm timing

Agree another discussion only when welcome. Otherwise record that you are awaiting a response, without inventing buying intent.

Day 7: close or pause

If appropriate, send a low-pressure close and pause proactive follow-up. Stop immediately after a refusal or opt-out rather than waiting for day seven.

Worked example: office video production

Suppose a buyer receives a HK$18,000 quote and says they must ask their manager. Record internal approval, not a price objection. Prepare a one-page summary of three videos, a half-day shoot, one revision and exclusions. Ask whether follow-up after the internal meeting would help. If they suggest two weeks, use that timing. The amount and package are fictional, not an Allua offer.

Use AI for preparation and reminders

AI can organise quote versions, summarise stated concerns, draft replies and remind the owner. The business should define approval rules for discounts, new commitments and external sending. If the system cannot confirm the latest reply or stop status, pause sending and ask the owner to review.

WhatsApp's business messaging policy requires businesses to respect requests to stop communications. Keep a stop field and recheck it before each automated send; checking only when the sequence was created is insufficient.

Cost and measurement

Start with an existing spreadsheet for one week, allowing half a day to define states and an hour for team alignment. A basic CRM reminder and drafting setup could use a HK$5,000–15,000 one-off planning allowance over 1–2 weeks, excluding subscriptions, messaging charges, specialist integrations and maintenance. This is a scope estimate, not a vendor quotation.

Measure the share of quotes with an agreed next step, overdue actions, qualified replies and sales-cycle time. Record exceptions where a message was sent after a stop request. Higher reply rates do not necessarily imply more sales or profit; compare similar services and deal sizes.

FAQs

Should we follow up immediately after a read receipt?

No. A read receipt does not prove rejection. Respect the agreed timing and offer useful information.

Can we automatically chase three times?

A fixed count must not override responses, preferences or buying timelines. Recheck the current state and stop after refusal.

Must every quote close on day seven?

No. Larger purchases may take weeks. Record the actual next date or a pause instead of classifying every open quote as a failure.

Put the method into practice

Ask Allua to organise your quote follow-up workflow with clear owners and stopping rules. Share existing tools, enquiry volume and approval rules to scope reminder and drafting automation.

Disclaimer: the workflow and amounts are planning examples. Adapt them to customer preferences, platform rules and company policy. Actual fees depend on quotation; corrections are welcome.
